# How do I add custom fields to my RFQ reference number?

## Build your RFQ reference number from your company's own custom fields (like a department code or order number) so it matches the number you use in your ERP.

Custom fields let you capture extra information on an RFQ. You can now use them when building the RFQ reference number, so the number matches what your ERP, suppliers and colleagues already use.

Prerequisite: an RFQ custom field already set up (any active RFQ custom field, e.g. a department-code dropdown or an order-number text field).

1. Click your initials in the top-right and choose Company Settings.
2. Go to the RFQ tab.
3. In the default number-format picker, select the RFQ custom fields you want to use. You can pick several and reorder them — the number is built from them in the order you choose.
4. Optional: add custom text (for example "sag") alongside the fields.
5. Save. The choice is kept for next time.

While an RFQ is a draft, the number is rebuilt each time you save using the field values at that point. Once you publish, the reference number is locked and never changes again — that is the number suppliers have seen.

### Notes:

- If a required custom field used in the format is empty when you publish, publishing is refused and you are told which field to fill in. The RFQ stays a draft.
- If the rebuilt number is already used by another RFQ in your company, the save is refused and the message tells you which number is taken.
- New RFQ drafts get a unique provisional number until the custom fields are filled in.
